Challenge
Coordinating Sponsorship and Hospitality in One Operational Flow
Sports and hospitality organisations managing active sponsorship portfolios needed more structure around how contracts, obligations, and related services were tracked. Without a dedicated system, responsibilities were distributed across disconnected tools — email, spreadsheets, and ad-hoc workflows — making it difficult to maintain consistent oversight.
VIP and hospitality services added a further layer of operational complexity. Coordinating services for high-profile guests required clear task ownership, reliable communication between teams, and real-time awareness of what had been arranged and what was still outstanding. Managing this alongside sponsorship activity in separate systems created friction that affected both execution quality and team accountability.
Solution
Building a Platform for Sponsorship and VIP Service Workflows
Alverden developed a centralised platform to bring sponsorship management and hospitality operations into a single operational environment. The goal was to eliminate the overhead that came from coordinating across disconnected tools and give teams a shared source of operational truth.
The system supported the full lifecycle of sponsorship workflows — from contract tracking through to delivery of associated obligations — while also providing a structured layer for coordinating VIP and hospitality services. Each area of the platform was designed around the operational realities of the teams using it, not around a generic task-management model.
Internal visibility was a primary design concern. Teams needed to see what was in progress, who was responsible, and what had been completed — without having to request updates or chase status across departments. The platform made that information available through role-appropriate views built into the core interface.
Capabilities
What We Delivered
Four core capabilities that defined the platform and shaped the operational experience.
Sponsorship Workflow Management
Structured workflows for managing sponsorship contracts and related tasks from initiation through fulfilment. Teams can track status, assign responsibilities, and maintain a clear record of each sponsorship engagement without relying on spreadsheets or email threads.
VIP Service Coordination
A dedicated layer for planning and managing hospitality services for VIP clients. Service requests, assignments, and delivery status are handled within the same platform — reducing the back-and-forth that typically accompanies high-touch service environments.
Operational Visibility Across Teams
Role-based views give operations, hospitality, and sponsorship teams access to the information relevant to their function. Status is visible across all active workflows, so nothing falls through the gaps between departments.
Reporting and Status Tracking
Built-in reporting surfaces the current state of sponsorship agreements and hospitality activities. Teams can review what is active, pending, or completed without pulling data from separate systems.
Outcomes
How It Improved Coordination
The delivered platform gave operations and hospitality teams a structured, shared environment for managing sponsorship and VIP service workflows. By consolidating activity that had previously been spread across disconnected tools, the platform improved both team accountability and the day-to-day management of high-touch service environments.
- Replaced fragmented process handling with a single platform covering both sponsorship and hospitality workflows.
- Gave teams structured visibility into the status of sponsorship agreements and VIP service delivery.
- Reduced coordination overhead by centralising task assignment and service tracking in one place.
- Improved operational control over high-touch service environments where accountability and timing are critical.
Tech Stack
